1. Overview

Immaculate Management Group ("we", "us", "our") provides a secure compliance portal for affordable housing professionals. This Privacy Policy explains what information we collect, how we use it, and the choices you have. By creating an account or using the portal you agree to this Policy.

2. Information we collect

  • Account information. Email address and authentication credentials you provide when creating an account.
  • Compliance documents. Files you or your team upload, including income verifications, leases, certifications, and related materials. These often contain personally identifiable information (PII) of household members.
  • Usage information. Logs of access times, IP addresses, browser type, and actions taken in the portal for security and auditing.

3. How we use information

  • To review documents for HUD, LIHTC, and HOTMA compliance.
  • To communicate with you about file status, missing items, and account activity.
  • To secure the portal, prevent fraud, and comply with legal obligations.

4. How we share information

We do not sell your information. We share data only with:

  • Our compliance reviewers and authorized property staff for the property you manage.
  • Service providers (hosting, storage, authentication) that process data on our behalf under contractual confidentiality obligations.
  • Regulators or auditors when required by law or housing program rules.

5. Security

All data is transmitted over TLS and stored encrypted at rest. Access is restricted to authenticated users and audited. Despite reasonable safeguards, no system is 100% secure; report suspected incidents to support immediately.

6. Data retention

Compliance files are retained for the period required by federal and state housing programs (generally six years after the close of the compliance period) and then deleted or anonymized.

7. Your choices

You can update your account information, request a copy of your data, or delete your account at any time from your dashboard. Deleting your account removes your login credentials; documents already submitted may be retained as required by housing program rules.

8. Children's privacy

The portal is intended for housing professionals over 18. We do not knowingly collect information directly from children, though household composition records may include minors as part of compliance documentation.

9. Changes to this policy

We may update this Policy from time to time. Material changes will be announced in the portal at least 30 days before they take effect.
